What is the WhatsApp 24-Hour Session Window?
When a customer sends a message to your WhatsApp Business account, Meta opens a 24-hour service window. Inside that window, you can send any freeform message — text, images, voice, documents, interactive buttons — without paying a template-conversation fee and without needing pre-approved copy. The instant that customer’s last message turns 25 hours old, the window slams shut. Send anything after that, and Meta blocks it unless you use an approved template message.

Service Window vs Template Messages
These are Meta’s two fundamentally different message types on the WhatsApp Business Platform. Mixing them up is the #1 reason WhatsApp messaging budgets blow out.
- Service window message (inside 24h) — Any text, media, button payload. Counts as a “service conversation”: very cheap or free depending on Meta’s current pricing. No template approval required. Used for support replies, order clarification, anything reactive.
- Template message (outside 24h) — Must use a pre-approved template body. Three Meta-approved categories: Authentication (OTP), Utility (order/booking update), Marketing (promotional). Each has a different price; Marketing is the most expensive. Used to re-open a closed window or initiate a brand-new conversation.
How to Re-open an Expired Window
You can’t. There’s no “reset” button. The customer must send YOU a new message — that opens a fresh 24-hour window. To make that happen, send them an approved template (Utility or Marketing) and hope they reply. The instant they do, you’re back inside the window and can converse freely.
A practical pattern: if a checkout drops off after window expiry, send a Utility template (“Your cart with 3 items is saved — reply HELP for a callback”); when they reply HELP, you’re in the window for the next 24 hours and can complete the recovery interactively.
WhatsApp Business Policy Categories
Every template you submit to Meta for approval picks one category. The category determines pricing, allowed copy patterns, and approval velocity:
- Authentication — One-time passwords, login codes, verification PINs. Body must say “Your verification code is {{1}}” or similar. Cheapest category. Usually approved within minutes. Wendesk uses this for L7 sign-in OTPs.
- Utility — Transactional updates: order confirmed, appointment reminder, shipping update, payment received, document ready. Mid-priced. Body must reference a specific transaction the user initiated.
- Marketing — Promotional content: discounts, new arrivals, abandoned cart, re-engagement. Most expensive category. Strictest review — must include an opt-out clause and reference a legitimate prior relationship.
When the Session Window Matters Most
- Customer support agents — confirming whether a complex thread reply will go through as freeform or needs a template
- Abandoned-cart recovery — scheduling the recovery message inside the 24-hour window for free instead of paying for a Utility template
- Multi-day support tickets — knowing when to switch from interactive support to a template follow-up
- Marketing campaign scheduling — sending bulk template messages outside the window for opted-in audiences
WhatsApp Window FAQs
What counts as a customer message?
Any inbound message from the customer to your WhatsApp Business number — text, image, voice, document, button-tap reply, list-pick reply, location share. Even a single dot or emoji counts. The instant your platform receives the inbound webhook, the 24-hour clock starts.
Does sending a template re-open the window?
No. Templates don’t open the window. ONLY a customer message can open the window. Sending a template starts a new template conversation (which has its own 24-hour window for follow-up messages once the customer replies), but does not give you freeform-message ability until the customer responds.
Are media replies (image, voice) counted?
Yes — any inbound message type counts. A customer sending a voice note, a product photo, or even tapping a quick-reply button all reset the 24-hour clock.
Do automated replies count?
No — only inbound messages count. Your outbound auto-reply doesn’t open the window because it’s from your end. Only the customer sending TO you opens the window.
What’s the difference between WABA Cloud and Mode A QR sessions?
WABA Cloud API (Meta-hosted, Mode B in Wendesk) is the official enterprise channel with the 24-hour session window + template-conversation model. Mode A (Baileys QR session, what powers our Base plan) attaches to a consumer WhatsApp number without templates or the 24-hour formal model — but at higher Meta-policy risk for high-volume sends. Wendesk lets you pick either at business setup; this calculator applies to Mode B (WABA Cloud).
Can I send freeform messages outside the window?
No. The WABA Cloud API will reject any non-template message outside the 24-hour window. You must either send an approved template or wait for the customer to message you first.
